Assigning Delegate Permissions

You can give other people permission to access certain features of your AEMS account. You can give them permission to

  • view and/or make appointments on your calendar
  • look at and update tasks
  • read mail in your Inbox and send mail on your behalf
  • access and add to your contacts list
  • read notes
  • view your journal

To assign delegate permissions to another person

  1. Open Outlook.
  2. From the Tools menu, select Options, and click the Delegates tab.
  3. Click Add, and select the users you want to give delegate permissions to.
  4. In the Delegate Permissions dialog, you can assign permissions for various Exchange features to the delegated users you selected in the previous step. You can select from the following levels of permissions for each item:
    • None
    • Reviewer (can read items)
    • Author (can read and create items)
    • Editor (can read, create, and modify items)

  5. You may also decide to have Outlook send a message to the new delegates informing them of their new permissions. To do so, check Automatically send a message to delegate summarizing these permissions.
  6. Check Delegate can see my private items if you wish to give your delegate this ability.
  7. Click OK twice.

If you have chosen to give your delegate permissions to access your mailbox, follow the next set of instructions. You will need to complete these steps for every Exchange feature that you have given a delegate permissions for (tasks, calendar, journal, etc.) The instructions are the same for each type of Exchange feature.

  1. In the main Outlook window, right-click on Mailbox – username at the top of the Folder List and select Properties. (If you are following these instructions to give permissions for another Exchange feature, select the feature from the Folder List and select Properties.)
  2. Select the Permissions tab.
  3. Click Add, and choose your delegate's name from the list.
  4. Highlight the delegate's name. At Role, select the appropriate role for your delegate.
  5. Click OK.

To access another user's mailbox if you are a delegate

  1. Open Outlook.
  2. From the Tools menu, select Services.

  1. Highlight Microsoft Exchange Server and click Properties.
  2. Select the Advanced tab.

  1. Click Add and select the mailbox for which you are a delegate.
  2. Click OK twice.
  3. You should now be able to expand the delegated mailbox in the main Outlook pane.
